Your HVAC maintenance, out of WhatsApp and into one system

HMMS schedules your preventive maintenance, alerts your team the moment an HVAC unit breaks down, and turns every completed checklist into a clean, consistent PDF report. Made for on-site work: your technicians and engineers only need a phone.

Every chiller, AHU and cooling tower. Every PM, every breakdown. One place. HMMS is the HVAC (ACMV) edition of our CMMS for Malaysian buildings and factories, with ready-made checklists for the equipment your team services every month.

Made for on-site work: all your team needs is a phone

HVAC work happens on rooftops, in plant rooms and above ceiling boards, not at a desk. HMMS is built for that. Technicians and engineers do the whole job from the phone in their pocket: no laptop on site, no paper job sheet, no typing it up back at the office.

πŸ“±

Just a phone

HMMS is a web app: open it in the phone's browser, or add it to the home screen like an app. No app store, nothing for IT to install, no special device to buy.

πŸ”§

Done at the asset

Check in, tick the checklist, key in readings, snap photos and check out, standing right at the chiller, AHU or cooling tower.

πŸ‘·

Engineers on the move

Supervisors and engineers review, comment and approve from their phone between sites, so reports don't wait for someone to get back to the office.

🚫

Nothing to type up later

The checklist filled on site is the record and becomes the report. No second round of data entry.

Needs mobile data or Wi-Fi to save work.

Monthly PPM report without the mail merge

Month end. Twenty cooling towers, five AHUs, three sites. Someone copies readings from paper into Excel, mail-merges into Word, then spends hours resizing photos and fixing tables that jump to the next page. Every supervisor's report looks a little different, and the client notices.

With HMMS, your technicians fill the checklist on their phone at the asset. When the PM is approved, the report is ready: same layout, same header and logo, same sign-off block, every time. Print it or download the PDF whenever the client asks, this month or two years from now.

  • One report per site and asset type, covering every unit serviced
  • Readings stored exactly as entered (no rounding surprises on amps or pressures)
  • Photos attached to the record, not pasted and resized by hand
  • Report header and logo set once by the admin

Planned preventive maintenance (PPM) for chillers, AHUs and cooling towers

PPM schedules live in one person's Excel file, or in their head. Quarterly cooling tower cleaning gets missed because the supervisor who tracked it resigned. The team only finds out when something fails.

Set each asset's PM start date and frequency once. HMMS works out what is due and puts it on the supervisor's list automatically, grouped by site and asset type. Supervisors see what's due, what's overdue and who is doing what, across all their teams and technicians.

  • PM due dates calculated from the last completed service, so the schedule never drifts
  • Standard checklists per asset type: every technician does the same steps
  • Supervisors assign, technicians tick off, supervisors review and approve
  • Nothing falls off the list when someone leaves the company

Chillers: daily log readings on the phone, not on a clipboard

Pressures, temperatures and amps entered at the chiller and stored exactly as typed. No copying from a smudged log sheet into Excel at the end of the week, and every reading stays in the chiller's history.

Cooling towers: cleaning records ready when the auditor asks

Each cleaning is a PM with its checklist, before-and-after photos, who did it and who approved it. When the client, auditor or insurer asks for proof, open the cooling tower and show them.

AHUs, pumps and cassette units

Ready-made checklists with pass/fail items and numeric readings, so a filter change or belt check is done the same way on every unit, by every technician.

Instant breakdown alerts for HVAC corrective maintenance

A tenant calls: the office is hot. The message goes to a WhatsApp group, gets buried under "noted boss" and lunch photos, and two hours later nobody is sure who went to look.

Log a corrective maintenance (CM) job in seconds from the phone, with photos. The PIC and assignee are alerted right away, in the app and by email. Everyone can see the status (open, in progress, closed), who checked in on site, what the cause was and what action was taken.

  • Ad hoc breakdowns raised and assigned on the spot
  • Alerts go to the right people only, set by your own alert rules
  • Cause and action taken recorded before the job can close
  • Overdue work escalates automatically to supervisors and admins

Manager to supervisor to technician, with GPS check-in

The manager tells the supervisor on a call. The supervisor forwards to the technician on WhatsApp. The technician replies "ok" and nobody can prove later what was asked, who did it, or when.

Clear roles

Administrator, Supervisor and User (technician). Managers see every site; supervisors own their assets and assign work; technicians see only what is theirs to do.

🎯

One owner per job

Every PM and CM has one PIC and one assignee, so β€œwho's handling this ah?” has an answer.

πŸ“

GPS check-in / check-out

On-site check-in and check-out with GPS location: proof of attendance without the argument.

🧾

Full audit trail

Every change recorded: what was changed, from what, to what, by whom. Comments, photos and approvals sit on the job, not in someone's personal WhatsApp.

HVAC asset register by building

The asset list is an old Excel sheet that doesn't match what's on the rooftop. Units are named differently at every site, serial numbers are missing, and "how many PMs are overdue across all our sites?" means calling three supervisors and waiting for their spreadsheets.

Set up each building, block, plant room or rooftop as a site, then list the equipment in it: chillers, AHUs, cooling towers, pumps, cassette units. Each asset has its own type, PIC, PM start date, manufacturer and serial number. Open the dashboard and see every site, every asset, every PM and CM, with status, due dates and history.

  • Sites and assets structured the way your buildings are, not the way the software wants
  • Asset types carry their own checklist, PM frequency and report layout
  • Status at a glance: due, overdue, in progress, awaiting approval, completed
  • Move, rename or archive assets and sites without losing their history
  • Start with the HVAC pack, and configure checklists for other equipment as you grow

Frequently asked questions

What is HMMS?

HMMS (HVAC Maintenance and Management System) is a web app, a CMMS for scheduling and recording HVAC preventive and corrective maintenance across buildings, factories and sites, with automatic reports and alerts.

How secure is our data, and where is it stored?

Your system runs in ISO/IEC 27001-certified data centres in Singapore β€” the international standard for information security management. All traffic is encrypted over HTTPS, and your data is backed up every day, with four weeks of backups kept. Each client gets its own installation and database, so your checklists, site photos and PM reports are never shared with another company, and they are covered by the same daily backups.

What is PPM in maintenance?

PPM stands for planned preventive maintenance: servicing equipment on a fixed schedule (monthly, quarterly, yearly) to prevent breakdowns, instead of waiting for it to fail. HMMS calculates each asset's next PPM date from its last completed service and puts it on the supervisor's list.

What is ACMV maintenance?

ACMV (air-conditioning and mechanical ventilation) is the term Malaysian building specs and maintenance contracts use for HVAC. ACMV maintenance covers chillers, AHUs, FCUs, cooling towers, pumps and ventilation fans. HMMS handles both the scheduled PPM and the breakdown (CM) work for this equipment.

Which equipment does it cover?

It comes with ready-made checklists for cooling towers, air handling units (AHU), pumps and cassette units. Checklists can be configured for other asset types.

Do technicians need to install an app?

No. All they need is a phone. HMMS is a web app: it runs in the phone's browser and can be added to the home screen. It needs a mobile data or Wi-Fi connection to save work.

Can it replace our WhatsApp groups for maintenance?

Yes, for the work itself. Jobs, photos, comments and approvals are kept on each PM or CM record, so the full history is in one place and stays with the company.

How are PM reports produced?

Once a supervisor approves a PM, the report is generated from the checklist in a fixed layout with your company header, ready to print or download as PDF.

Your team already does the work. HMMS makes sure it shows.

Every PM done on time, every breakdown followed through, every report the same professional standard, without the WhatsApp chase or the month-end mail merge. Let us show you on your own assets.
